Workflows / Billenta

Turn a customer request into a quotation you can stand behind.

A useful quotation answers three questions: what is included, what it costs, and how long the offer stands. Billenta brings those details into one editable document, with your business branding and the labels your work needs.

01

Start with the scope, then price it

Choose the customer and describe the work or products. Add quantities and unit prices separately so both you and your customer can check the calculation. Use item specifications for details that should travel with the price: materials, equipment, deliverables or what the service includes. A reference can connect the offer to a project or purchase request.

02

Make the commercial details explicit

Select the currency, check the applicable tax setting, and set a valid-until date. State exclusions and conditions in the document rather than leaving them in a separate conversation. Your saved business defaults help fill recurring details, but review them for the particular job before sharing. Custom labels and templates let the document match your business without starting from a blank page.

03

Use AI as a draft assistant

Describe the customer, scope and amounts in ordinary language. The assistant can propose a draft and ask for missing information. Check its interpretation, especially names, quantities, tax and dates; creation requires confirmation. You can also build the document directly in the editor. AI availability and document limits depend on your plan.

04

Keep a clear record after approval

Save the quotation, download the PDF and share it through the available document actions. Once the customer accepts, you can continue to the invoicing step without retyping the scope. A quotation itself is not a recorded payment: payment records belong to the collection stage, which keeps an offer separate from money received.

Before you finish

  • Customer and business details are correct
  • Scope, quantities and prices are complete
  • Currency, tax and expiry have been reviewed
  • Exclusions and terms are clear

Can I use my own document names and branding?

Yes. Billenta supports customizable document labels, business details and templates. The quotation workflow describes what the document does; your customer-facing wording can reflect how you work.
